Trello is refreshingly straightforward. In its basic version, you can create tasks, set a deadline, and assign team members. You can also move tasks between different lists. Typically, tasks start in an "Ideas" list on the far left. They are then activated and ideally further specified. Then, the tasks go into a "Release / Test" list and finally end up in the archive.

Trello works for IT projects, for office organization topics, and also for personal goal setting. Depending on the need, team members can be added to a board via invitation.

Trello's functionality can be enhanced through extensions. There is now a huge catalog of possibilities, known as PowerUps. We currently use the Chronos timetracker to record time within tasks and track the workload. A stopwatch determines the time spent between starting and finishing work on a task and stores it there. This helps us to better estimate our own effort and enable transparent communication with our customers.

Another helpful feature is the ability to send emails directly to a Trello board. This makes organizing an inbox, for example, super easy. The team gets access to the Trello board with incoming emails and then moves these emails depending on their processing status.

We use this, for example, for our customer service: Customer inquiries are generated via a form on a website and sent directly by email to the corresponding customer service board on Trello. There, the inquiries are processed and then transparently completed on the board. All board members can see at any time which inquiries are at what stage and who is working on them.

This also works analogously for an applicant inbox, where email applications can be forwarded directly to a board and processed from there.

All generated entries in the Trello boards are searchable. This way, you can always find the process you are looking for, even days later.
